Managing your digital footprint: Kaltura Media

What is Kaltura?

Kaltura is a cloud-based media content management system available to staff, faculty, and students at UAA and ÃÛÌÒÓ°Ïñ (including UA System Office). It provides tools to create, upload, edit, collaborate on, and share video and audio content.

Why does this matter?

First, the University of ÃÛÌÒÓ°Ïñ does not currently impose storage limits on Kaltura or enforce a media retention policy. However, as many cloud providers begin charging for storage—similar to recent changes with Google—this will likely change in the future. To prepare, we encourage everyone to review their media library and remove content that is no longer needed. Zoom recording backups account for a significant portion of our storage, and most of these recordings see little or no use. While Kaltura is a great tool for managing active media content, it should not be treated as a long-term archiving solution.

Second, as an institution we want to be proactive to the upcoming changes in that will now go into effect for UA on April 24, 2027 with the recent 1yr extension. These updates to Title II of the ADA require that all of our video content that’s publicly available needs to be accurately captioned, and audio described if necessary. This includes content that’s published within an LMS, like Blackboard or Canvas. We can each approach this strategically by first removing or unpublishing old media that should no longer be accessed. Then we can pursue more intentionally editing captions for accuracy and developing audio description as needed. Most media in Kaltura is automatically captioned with high quality machine captioning, and there are tools being pursued to support audio description, but it’s important to use your time and resources wisely and to prioritize doing the work of making content accessible first for videos that need to be publicly available.

How to manage your media?

You can access and review your media through your MAU’s MediaSpace instance. Below are helpful Kaltura knowledge base articles related to this process:

While Kaltura offers collaboration features that allow others to help edit or publish content, only the media owner can delete items. The layout of this view makes it easy to review your entries and remove those you no longer need.

Media Retention Policies

More information will be shared in the coming months, but we want to assure everyone that no content that is actively used or recently accessed (within the last 3 years) will be affected. The focus will be on media that has not been used for an extended period (more than 3 years) or has never been accessed.

To prepare for these changes, we encourage you to start reviewing your media library now and delete any content you no longer need.
